Kadampa Meditation Centre, Copenhagen (“KMC Copenhagen”) is a non-profit volunteer run association registered in Denmark (CVR: 34634823). Kadampa Meditation Centre, Copenhagen is committed to protecting the privacy and security of individuals who visit www.meditateincopenhagen.org (the “Site”).
Purpose of this Policy
The purpose of this privacy policy is to inform you as to what information may be collected from you when visiting the Site, how such information will be used, your choices regarding the collection, use and distribution of such information, your ability to edit, update, correct or delete such information and the security procedures that we have implemented to protect your privacy. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy policy.

Information is obtained when you use our website, for example when you use any of our online forms (such as ‘Contact Us’), when booking onto one of our courses, or when signing up to our Newsletter. Information may also be collected when not using these features, as described below.

This includes information you provide:
- When completing the booking process for one of our courses. We use a third party plugin, WooCommerce.
- When signing up to our newsletter. We use Mailchimp for our Newsletters.
- When signing up or logging in using a social profile. We collect your public profile data only from your consent that you grant before initiating Social Login, from the social network used to login at our website. This data includes your first name, last name, email address, link to your social media profile, unique identifier, link to social profile avatar. This data is used to create your user profile at our website. You can revoke this consent at any time by sending us an email.
The information you give us may include your name, address, e-mail address & phone number. Statistics around email opening and clicks using industry standard technologies, which help us to monitor and improve our e-newsletter.

Information we collect from you
This includes technical information, such as IP address, browser type and version, time zone setting, operating system and platform, URL clickstream to, through and from our site (including date & time), pages you viewed or searched for and page interaction information. This data is collected by Google Analytics and Facebook Pixel. KMC Copenhagen has no access to any identifiable information from this data.
When loading resources over a network, the 3rd party server will receive your IP address and User Agent string amongst other details. Please refer to the Privacy Policy of the respective libraries for details on how they use data and the process to exercise your rights under the GDPR regulations.
Images may be captured during events organised and hosted by KMC Copenhagen. By entering and by your presence at our events, you consent to be photographed and/or filmed and to any use of the material produced. This material may be featured on social media, our website, event publicity, brochures etc. If you do not consent, please let our volunteer photographer know at the event. KMC Copenhagen acknowledges its responsibilities in capturing images by photography or other means under applicable law.
What do we do with this information?
We use the information you provide us with for the purpose it was provided. For example, information collected and processed is used to manage and administer your booking, and to facilitate event planning. We may contact you via email or phone regarding your booking. If you have signed up to our mailing list, we may also send you e-newsletters and as we share information with our trusted social media, advertising and analytics partners you may see our adverts on social media.
If you have submitted your name & email address via a contact form on our website, we only use this for the purposes of answering your query.
We use technologies, such as cookies, to customise content and advertising, to provide social media features and to analyse traffic to the site. We also share information about your use of our site with our trusted social media, advertising and analytics partners. When you purchase from us, we’ll ask you to provide information including your name, billing address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

- Set up your account for our store

The above suppliers have provided the necessary and appropriate guarantees for the protection of personal data, including that they are subject to EU-US privacy shield.
Payments
We accept online payments through Stripe and payments in our Centres are taken through MobilePay. When processing payments, some of your data will be passed to them, including information required to process or support the payment, such as the purchase total and billing information.
If you make a purchase on our website, your card information is not held by us, it is collected by our third party payment processor Stripe, who specialise in the secure online capture and processing of credit/debit card transactions. See Stripe Privacy Policy
How do we secure your information?
When you give us personal information, we take steps to ensure that it’s treated securely. Any information is encrypted and protected with encryption on SSL. When you are on a secure page, a lock icon will appear at the top of web browsers.
We use third party security plugin Malcare to protect against hacks and malware. This software will notify us in case of any data breach. If a potential or actual breach of your personal information has occured we will notify you within 48 hours of us becoming aware of it. The Managers & Volunteers who have access to this information are aware of GDPR regulations.
While we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.
How long we keep your information?
All data is kept for as long as is necessary to complete our contractual obligations. Your information will be retained for a period of 6 years plus the current year, for statutory record keeping purposes. After this time, unless we have a legal obligation to retain it for longer, your personal information will be deleted or, where data is required for statistical purposes, anonymised.
Your information used for marketing purposes will be kept until you notify us that you no longer wish to receive this information.
